This Privacy Policy explains how PawPay LLC, a California limited liability company (PawPay, we, us, or our) collects, uses, discloses, and protects information when you access or use our platform, website, mobile applications, APIs, SMS programs, payment facilitation services, and related services (collectively, the Services). By using the Services, you agree to this Privacy Policy.

1. Information We Collect

We collect information necessary to provide insurance-benefit activation, authorized-agent collection services, and payment facilitation.

Information You Provide

  • Name, email address, phone number, and mailing address;
  • Insurance carrier name, policy number, and coverage details;
  • Claim-related details and supporting documentation;
  • Bank account information for ACH transactions;
  • Veterinary clinic or provider information; and
  • Pet information related to claims or transactions.

Payment Information

Payment information is processed by licensed third-party payment processors. PawPay may store secure, tokenized payment credentials but does not store full payment card numbers unless required for compliance or legal obligations.

Automatically Collected Information

  • IP address and device/browser information;
  • Usage and interaction data; and
  • Cookies and similar tracking technologies.

2. How We Use Information

We use information to fulfill our role as your authorized collection agent and to operate the Services, including to:

  • Advance insurance-covered benefits to veterinary providers at checkout;
  • Submit insurance claims to carriers on your behalf as your designated collection agent;
  • Receive and apply insurer reimbursements to outstanding advances;
  • Route and process payments;
  • Provide transaction confirmations, authorization records, and account updates;
  • Send SMS notifications (if opted in);
  • Detect, prevent, and investigate fraud;
  • Comply with applicable financial, sanctions, and regulatory requirements;
  • Improve, maintain, and secure the Services; and
  • Enforce our Terms of Use.

We may use aggregated or de-identified information for analytics and product improvement. We do not sell personal information.

3. How We Share Information

As your authorized collection agent, PawPay must share certain information with insurers and providers to fulfill your claim. We may share information with:

  • Insurance carriers involved in claim processing — limited to information necessary to submit and settle your claim;
  • Veterinary providers involved in transactions;
  • Payment processors and financial institutions;
  • Fraud prevention, compliance, and security service providers;
  • Technology and infrastructure providers that support our platform; and
  • Legal authorities when required by law.

We do not sell personal information to third parties. We may transfer information in connection with a merger, acquisition, restructuring, or sale of assets, subject to appropriate safeguards.

4. SMS & Electronic Communications

If you opt in, we may send transactional SMS messages (payment updates, claim notifications, authorization confirmations), account alerts, fraud notifications, and promotional messages (only if separately consented).

We do not sell or share mobile numbers, SMS consent, or message data with third parties or affiliates for their marketing or promotional purposes. We may share this information only with service providers (e.g., carriers, messaging platforms) to operate our SMS program.

5. Financial, Sanctions & AML Compliance

To comply with applicable law, PawPay may screen users against sanctions lists (including OFAC), monitor transactions for fraud and AML compliance, and retain records as required by financial and regulatory obligations. We may suspend or restrict transactions where required by law.

6. Data Security

We use commercially reasonable safeguards designed to protect information, including encryption in transit, secure payment tokenization, access controls and authentication safeguards, and monitoring systems to detect suspicious activity. No system can be guaranteed to be completely secure.

7. Data Retention

We retain information for as long as necessary to provide the Services; complete transactions and fulfill our authorized-agent obligations; comply with financial, tax, and regulatory requirements; and resolve disputes and enforce agreements. Retention periods may vary depending on legal and operational requirements.

8. Your Privacy Rights

Depending on your state of residence, you may have rights under applicable privacy laws (including CCPA/CPRA for California residents), including the right to request access to, correction of, or deletion of your personal information. Note that certain information may be retained as required by our authorized-agent obligations or applicable law.

9. Children's Privacy

The Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. Updates will be posted with a revised Last Updated date. Continued use of the Services after changes become effective constitutes acceptance of the updated policy.
